As a Member of the Clinical Information Systems Team, You Will:

Play a key role in the advancement of the veterans mental health field by providing system administration, training, and support on CVN’s network‐wide Electronic Health Record (EHR) and data reporting systems.

Responsibilities of the Clinical Information Systems Manager include, but are not limited to:

  • Directly support up to 5 clinics, serving as the primary point of contact for their data reporting and EHR environment for training, data compliance, system assistance and support
  • Provide standard weekly, monthly, quarterly, and annual reports, dashboards, graphs, tables, charts etc., with corresponding data analysis in the areas of access, utilization, outcomes and other Clinic or operational KPIs
  • Work with Clinic staff and Network Information Systems Data team to develop new ad-hoc reports as needed for grant reports, board meetings, or marketing materials
  • Work with the CVN Central Office Project Team and Clinic Project Team to coordinate implementation efforts of EHR implementations, to include completing agency-specific setup, coordinating all integration testing, leading End User Training and provide ongoing support
  • Responsible for communicating any system developments, upgrades, or changes that may impact day to day processes (in EHR or other Clinical systems), to all Clinic staff
  • Work closely with clinical staff to ensure accurate and timely data collection within the EHR and other data sources (e.g. Client Experience Surveys), as well as completeness of data through all points of the client life cycle
  • Proactively identify errors and inconsistencies in data and work directly with clinical staff to address inaccuracies and gaps
  • Ensure that new Clinic staff receive all necessary training on the EHR and have access to all documentation regarding EHR and other data collection processes, policies and help related materials for end users; provide refresher training to existing staff as needed
  • Participate in regular meetings with Clinic staff regarding data compliance and EHR functionality
  • Participate in monthly CST meetings and contribute to all necessary CST reports, quarterly reviews etc.
  • Serve as a primary EHR trainer, providing group and individual training for new incoming staff and re‐training for current staff.
  • Utilize Help Desk ticketing system that supports Clinics on EHR requests, questions and issues, to include:
    • Provide timely, helpful and consistent responses and resolutions to all inquiries
    • Provide effective support when interacting with end users to diagnose and problem solve issues
    • Direct tasks to appropriate internal staff or EHR Vendor as necessary
    • Support maintenance of knowledge base and all FAQ documentation
    • Track usage reports (e.g. top submitters, top types of incidents, and frequency of tickets) to evaluate efficiency, system pain points, areas to retrain; make short‐term and long‐term recommendations on ways to address
  • Serve as Administrator to Clinics’ Relias LMS platform; manage user accounts and ensure all staff profiles are up to date
  • Support maintenance of documentation on processes, policies, system configuration, training guides and help related materials for end users.
  • Work with EHR vendor and other CIS team members on future system development such as testing of new or changed functionality, upgrades to new software, updates to documentation workflows, or new versions of forms.
  • Stay abreast of EHR system functionality and available enhancements, work with team to assess and implement tools and processes that further organizational goals.

Basic Requirements:

  • Bachelor’s Degree in a related field or equivalent experience
  • Experience with Electronic Medical or Health Record Systems required
  • Strong proficiency with Microsoft products
  • Ability to train/present to small to medium size groups with diverse experience levels, both in-person and virtually
  • Problem solver and self-starter who is resourceful, takes initiative and meets deadlines
  • Comfortable working both collaboratively and independently
  • Experience leading small teams
  • Extremely organized with high attention to detail
  • Strong interpersonal skills with the ability to work well with individuals across all organizational levels
  • Excellent written and oral communication skills
  • Experience with privacy and security practices, including HIPAA
  • Experience working in behavioral health or community health systems a plus
  • Veteran, Military Spouse, or experience in the veteran community a plus
  • Moderate level of travel required (30%)
